If you’ve ever had to create a schedule for your employees, you know that it’s not as easy as it seems. Making employee schedules is downright hard. But don’t worry, we’re here to help. Making an employee schedule is hard. But making a good employee schedule? That’s an entirely different beast. Sure, you could just slap some shifts together and call it a day, but what happens when your employees start to complain that they’re overworked or underutilized? 

It might not seem like much, but scheduling can be the difference between a productive, happy workforce and a stressed-out, resentful one. So how do you make sure your schedules are on point?

Well, you first need to assess the needs of your business and the needs of your employees. Where are your weaknesses? What are your potential scheduling problems? And what are you trying to accomplish with your schedule?

The best way to address these questions is to sit down with your team and work on a schedule together. You’ll need to talk about your goals for the year and the skills of each employee. And how those skills can be utilized to fill your staffing needs. 

Also, you need to know what shifts work best for each team member and what shifts work best for the business. By putting in some time with your employees, you’ll be able to create a schedule that meets everyone’s needs.

Making Employee Schedules: How To Get Started

Once you’ve assessed the needs of your business and created a schedule that works for everyone, you’ll want to get down to brass tacks and start writing out your schedule. First things first: Write down all of the shifts that need to be filled. 

Then, try to find people who work well together (and who, ideally, get along well). This will help keep morale high and minimize conflict. After that, you’ll want to look at each person’s availability. Look at whether they can do early morning shifts or late night shifts. If a shift is particularly hard (ex: it involves a lot of lifting). Then look at whether there are employees who have those skills.

Now that you’ve got all of that figured out, it’s time for the final touches. Make sure each person has one or two days off per week (depending on how many days per week you’re open). Then, write in days off for holidays (if applicable) and see if there’s anything else that needs tweaking.

So, once you’ve got everything figured out, it’s time for the fun part! Gather up the schedule and give it to everyone so they know when they’re working next week (and so they can mark it on their calendars). And then, pat yourself on the back! 


Making employee schedules is a big deal! Not only did you just save yourself some time by planning. But you also saved yourself a lot of headaches by making sure things were thought through beforehand.
